Handbook Overview

When reviewing the College of Nursing Faculty Handbook, you will notice varied materials and electronic links. The handbook is designed to be accessible off campus via the College of Nursing SharePoint site. You will need to log into the site with your ECU ID and password. To access some information from the ECU and the College of Nursing remotely, you will need to have downloaded onto your computer a Virtual Private Network (VPN). The link to instructions regarding this is found on the SharePoint homepage after you log in.

To keep the contents of this handbook current, faculty will be directed to appropriate online resources that are maintained with the latest information (if clicking on the link does not work, please try copy and pasting the link into your browser). The handbook is divided into seven (7) sections to provide an overview of the University and the College of Nursing, University specific faculty information, College of Nursing specific faculty information, College of Nursing curriculum and student information, College of Nursing support services and miscellaneous information.

This handbook will refer you to the following sites/documents for information:

It is impossible to cover every possible topic in which faculty may have interest, therefore, if you are having difficulty locating information you need, please ask your department chair. If at any time you find a link or information that is not correct, please notify your department chair. Please note that if a hyperlink does not take you to the site, you may copy and paste the address into your web browser.

The handbook does contain page numbers, but you may access any section of the handbook by clicking on the title in the table of contents. This handbook will be updated annually in the summer.

University Specific Information

Faculty Governance

ECU maintains a strong, long-standing shared governance structure. The Faculty Senate has been the legislative, advisory and primary faculty governance body for faculty representation at ECU for over 50 years (pdf). This body provides how faculty can fulfill their responsibilities with respect to academic and educational policies of ECU.

The Faculty Senate represents all faculty of East Carolina University. It is comprised of faculty members elected by the general faculty and UNC Faculty Assembly Delegates and senior administrators who serve as ex-officio members with vote. The functions, duties, and privileges of the faculty and the Faculty Senate are detailed in the ECU Faculty Constitution, which is contained in the Faculty Manual, and exercised under the authority of the University.

The College of Nursing also engages in faculty governance through the College of Nursing Faculty Organization and its committees as directed in the College of Nursing Unit Code.

Once on SharePoint, may be found by navigating the following path: FacOrg > Faculty Org > Fixed Term Title Advancement Materials.

Criteria for Evaluating Fixed-Term Faculty

Fixed term faculty are appointed to the College of Nursing on an appointment term basis. The process of recommending new appointments, or subsequent appointments, each year is initiated by the department chairs. Decisions to recommend new appointments and subsequent appointments each year are sent from the College of Nursing Personnel Committee to the department chair and the Dean. Fixed term faculty responsibilities are expected to consist of a majority percentage in teaching. Those with less than 95% teaching are to negotiate the remaining percentage with their chairperson. All faculty are expected to participate in service. Each faculty member is accountable for documentation/demonstration of their performance. All fixed-term faculty are evaluated by the respective chairperson at a meeting with the faculty member during the spring semester.

University Teaching Awards

East Carolina University offers multiple categories of annual, university-wide teaching awards. The awards, their descriptions and qualifications are found on the Office of Faculty Excellence website. Faculty Responsibilities

Faculty Information and License to Practice Nursing

  • Faculty are responsible for providing and maintaining current demographic information on Pirate Port and with the CON Human Resource office.
  • All nurse faculty members are required to hold a current, unrestricted license to practice as a registered nurse in the State of North Carolina or a compact state. If primary license is from a compact state, the faculty member must be registered with the North Carolina Board of Nursing (NCBON) within 30 days of change of address to North Carolina. Licensure renewal is the responsibility of the faculty member.

Faculty Office Hours and Schedule

A schedule of hours for class, clinical, office, and committee commitments shall be prepared at the beginning of each academic term. The University requires that full-time faculty hold a minimum of 5 office hours per week – these may be face-to-face or online. (ECU Faculty Manual).

On-Campus Attendance

Full-time faculty are expected to be on campus at least one day per week, with an additional day of on-campus presence strongly encouraged. Although the environment in which we operate is becoming increasingly virtual, we cannot replicate the value of an in-person academic community that supports faculty, staff and students. All CON Faculty Organization and Department Meetings will be held in-person. Minutes of meetings will be available for review. If faculty are unable to attend in-person meetings, they should communicate with their department chair, as we recognize there may be an occasion that prohibits you from attending a meeting.

Attendance at Meetings

Faculty members, as academic citizens and stewards of the CON are expected to attend College of Nursing scheduled and called meetings of the Faculty Organization, Department, Undergraduate and Graduate Faculty Organizations, Committee and other meetings/events as appropriate. Meeting dates and times are maintained on the College of Nursing calendar.

Committee Activities

Faculty members are expected to participate in both College of Nursing and University committees as part of their service. College of Nursing committees, membership, and responsibilities are described on ECU College of Nursing SharePoint site under the heading Committees, and ECU College of Nursing Code (pdf).

The University academic committees, membership, and responsibilities are described in the ECU Faculty manual and on the ECU Faculty Senate website.

Absences

Policies and procedures for faculty absences and leave can be found in the ECU Faculty Manual
and managed in the University’s time system, found on Pirate Port.

Annual Faculty Requirements

The documents addressing annual faculty requirements for all faculty (clinical and non-clinical) is communicated prior to each academic year. This information is sent to all faculty by the Associate Dean for Academic Affairs and the Department Chairs in late summer and most requirements are due early in the fall semester. Clinical faculty are expected to comply with the policies of clinical agencies related to health screenings for non-agency personnel. Faculty are expected to upload documentation to meet the requirements to the assigned Teams link or use Cornerstone as noted for training. Monitoring of these requirements will rest with the department chair.

Employee Health and Safety

Guidelines for employee health and health safety are provided by the Office of Prospective Health.

Professional Liability Insurance

State employees are covered by the “defense of state employee’s act”. They are further covered by the State’s excess liability policy. The policy will respond to claims against state employees in the scope and course of their employment 24/7 worldwide.

If there are faculty members whose responsibility is to practice as independent providers within the normal course and scope of College of Nursing employment, they need an additional policy beyond the Tort Claim and Defense of State Employees Acts. Contact the Executive Director of Business and Administrative Affairs to arrange for the additional coverage.

If faculty are working outside of their employment (external professional activities for pay) they will need individual coverage, if desired. The use of state funds would not be appropriate.

Faculty Workload

The College of Nursing Faculty Workload Policy applies to all faculty in the College of Nursing. The faculty supports the mission of the University and the College of Nursing which defines the main activities of faculty as teaching, scholarly activities, and service. Recognized activities include classroom, lab, and clinical teaching, scheduled office hours, course and curriculum development, supervision of student research, assistance in academic administration, research, publication, and other scholarly and academic commitments that contribute to the overall enrichment of the faculty members, students, and university community. Professional responsibilities may also include committee service, continuing education, and other service to the University and to the profession of nursing.

Information on faculty workload is available in the ECU Faculty Manual.

In addition to guidance provided in the Faculty Manual, faculty negotiate workload with their department chair based on teaching needs in the CON; service to the CON, University, and profession (a minimum of 5% service is required of all faculty); scholarship and research obligations; and other assignments of the individual. The College of Nursing Workplan document is being tested at the publication date of this document and will be updated as needed. Workplan Calculator (ECU login required).

Faculty Practice Plan Guidelines

ECU College of Nursing has a faculty practice plan. Questions related to the faculty practice plan may be directed to the Director of Community Partnerships and your department chair.

Faculty Evaluations

In the spring of each academic year, or upon hire, faculty members prepare goals and objectives in the categories of teaching, research, service and when appropriate, practice in Faculty 180. The faculty member meets with the department chair to finalize the goals and objectives and determine the weights to be affixed to the categories. Faculty annual evaluations in the spring of the academic year are based on the faculty’s documentation of success in meeting the stated goals and objectives. Faculty annual evaluations are required by the University in the spring via Faculty 180 and become a part of the individual faculty member’s personnel file maintained in the College of Nursing and in the Division of Academic Affairs. The faculty goals and objectives template and annual evaluation form for the College of Nursing is in Faculty 180.

Faculty Annual Reports

Faculty are required by the University to submit all activities annually to the University’s academic publication database (Faculty 180). Faculty may enter information into Faculty 180 throughout the year and are encouraged to enter activities as they are completed. An annual report will be created for each faculty, using Faculty 180, for the previous academic year in preparation for the faculty annual evaluation.

Scheduling of Rooms for Classes and Committee Meetings

Faculty wishing to reserve a room for a meeting, etc. should contact their departmental administrative assistant, who will request the room through the University’s room scheduling system 25Live.

Textbook Order Procedure

Textbooks are only ordered online through the Dowdy Student Stores (now under management of Barnes & Noble College). To access textbook ordering and/or to communicate with the bookstore, navigate to Dowdy Student Stores and click on “Faculty Resources” at the top right of the page. You will be asked to log in using your ECU ID and password.

Based on our commitment to offering a course of study which is congruent with our accreditation standards, respectful of the principles of academic freedom, and mindful of the financial impact of textbook selection on our students, the following procedures for textbook adoption are adopted.

Procedure

  1. Textbook selection in required nursing courses will be made by the faculty group responsible for the course (e.g., midwifery concentration faculty select midwifery texts; RN/BSN faculty select texts for the RN/BSN option) and the required textbooks for all sections of the same course shall be the same. Individual faculty may add additional recommended texts but required assignments in the course should be based on the required textbooks.
  2. Faculty who teach elective courses may choose textbooks independently but the required textbooks should be publicized to students at the time of registration.
  3. Wherever a textbook authored by a College of Nursing faculty member is a required text in a course the University Conflict of Interest form must be completed prior to adoption.
  4. When choosing a new version of a textbook or when requiring students to purchase supplemental materials which are bundled with a textbook, faculty should consider the financial implications of this decision. However, the overriding guiding principle should be whether the material is central to the content of the course and the achievement of terminal objectives.
  5. Faculty teaching related content at different levels of a degree program should communicate regularly and use the same textbook for multiple courses when appropriate.
  6. Faculty are encouraged to use the same textbook for a minimum of one academic year.

Use of Lab/Clinical Event Form

The College of Nursing Event Form is to be completed whenever an event occurs during a lab or clinical experience. The form and guidelines for its use are located on the CON SharePoint site and in the College of Nursing Student Handbook. On SharePoint the document may be found at Baccalaureate – General Clinical Documents or at Adv Nurs Prac & Ed

Academic Responsibilities

The University Academic Responsibilities can be found in the ECU Faculty Manual, ECU Undergraduate and Graduate Catalogs, ECU College of Nursing Student handbook.

Class Hours

The credit hour allocation for undergraduate classes at ECU is one semester hour for each fifty-minute class session per week (1:1 ratio), one semester hour for each two hours of college laboratory or seminar (1:2 ratio), and one semester hour for each three hours of clinical experience per week (1:3 ratio). Graduate classes have varying ratios which are stated on the course syllabi.

Teaching

Primary teaching responsibilities are assigned to the faculty according to the educational preparation of the faculty member and the needs of the academic programs. Specific teaching responsibilities are outlined by the appropriate department chairperson in accordance with the ECU Faculty Manual.

Office of Research and Scholarship

General information regarding the College of Nursing Office of Research and Scholarship may be found on the College of Nursing website. This office may also assist faculty in obtaining information from the University regarding research and can also assist with IRB applications and other activities related to conducting research.

CON faculty who have secondary employment and may be conducting human research through their secondary employer with review and approval by another IRB, must notify the Office of Research and Scholarship. If the ECU CON faculty member intends to use their credentials as an ECU CON faculty member when disseminating the findings of the research conducted at another institution with that institution’s IRB approval, there should be either: (a) an IRB reliance agreement in place for studies that require expedited or full review, or (b) a copy of the certification of exemption on file for studies that were determined exempt by the reviewing IRB.

Adjunct Faculty

The category of adjunct faculty includes people who are not employed full or part time by East Carolina University College of Nursing but who contribute to the teaching, service, or research mission of the College. Adjunct faculty contribute through teaching in the classroom or college laboratory, serving as a clinical preceptor, providing consultation to faculty and/or students, collaborating on research projects, or contributing to other scholarly projects sponsored by the College of Nursing. Adjunct faculty are not eligible for tenure or financial compensation from ECU College of Nursing. However, they are invited to attend College of Nursing faculty meetings as non-voting members. Specific qualifications as well as nomination forms are located on the CON SharePoint site. Adjunct Faculty information can be located by navigating the following path: CommPart>Community Partnerships>Adjunct Faculty.

Development of Elective Courses

If a faculty member is interested in developing an elective course in nursing, the faculty member should first present the course to the respective College of Nursing Undergraduate or Graduate Curriculum Committee on the appropriately designated forms.

Retention of Records

According to the ECU Faculty Manual “faculty are required to retain for one calendar year from the date a grade is posted all course records that substantiate the posted grade.”

Distance Education Teaching Requirements

All faculty who teach in distance education must complete the five DE modules located in Cornerstone and through the ECU Office of Faculty Excellence. Once the modules have been completed, faculty maintain eligibility to teach online by completing distance education faculty development activities each year. These can include activities offered by the Office for Faculty Excellence, ITCS, and the College of Nursing. Faculty should include any of these activities in Faculty 180 and indicate it meets the DE continuing education requirement. Please discuss these requirements with your Department Chair if you will be teaching at least one distance education (DE) course per year.

Peer Assessment of Teaching

All full-time faculty are to participate in a peer assessment of their teaching in accordance with university requirements. Peer observation training is offered through the Office of Faculty Excellence. A copy of the summary and peer observation form(s) will be submitted to the department chair with evaluation materials in the year the observation is done.

College of Nursing Space Allocation

Space within the College of Nursing is limited. As we strive for compliance with the on-campus attendance guidelines, we will undoubtedly test the limits of our available space. Adhering to university policy, private office space for any employee that has an approved Alternate Work Location schedule of 60% or greater is not allowed. Faculty with an assigned private office who do not use it 3 or more days per week are asked to discuss office reallocation with their department chair. University Policy Manual – Allocation of Office Space.

We may be forced to increase our proportion of shared office space compared to private office space. Faculty office space is assigned by the ECU College of Nursing business office with input from the chairs related to teaching assignment needs. Hoteling space is available in the ECU College of Nursing on a first come, first served basis. If it becomes necessary, we will begin to offer signups for this space to prevent an overflow. The CON is dedicated to offering the space and facilities necessary to accommodate adherence to these guidelines.

College of Nursing Travel Guidelines (Clinical and Non-Clinical Travel)

ECU travel office site has all University regulations surrounding travel at Travel Office.

Guidelines for College of Nursing travel reimbursement for clinical and non-clinical travel may be found on the College of Nursing SharePoint site or on SharePoint by following the path: Administration>Business Office>Travel>Docs for Faculty Travel. Travel guidance may also be found in department folders on SharePoint.
